Office Assistant/Manager - Singapore

 

Overview

FGE is an international energy consultancy group specializing in providing world-class research and analysis of both regular and complex aspects of the oil and gas markets. A vacancy has arisen in the FGE's Singapore office for an Office Assistant/Manager to join the team.

We are a team of experienced professionals with a wide range of international clients, mainly oil companies, financial institutions and producer governments. Our consultancy services include the provision of regular research and analysis, interacting with clients and undertaking special studies and reports. This role includes general office management and administration as well as collaborating with administrators and office managers in our various offices around the world.


The Role and Responsibilities

General Office Administration duties including:

  • General office administration and providing assistance with correspondence, filing, and event related work.
  • Procurement of office supplies, equipment maintenance, repairs, and other administrative tasks as assigned.
  • Coordination and setting up of travel itineraries and hotel accommodations for consultants and staff of FGE Singapore and Hawaii as required.
  • Setting up appointments for FGE staff in Singapore and from Hawaii when they travel in the region or internationally as required.
  • Managing the company-related apartments and visiting guests.
  • Acting as a point of reference for visitor meetings (setting up meeting rooms, providing refreshments for visitors and staff).
  • Any other duties as assigned by Managers and/or Directors.

 

Marketing Administration Duties including:

  • Preparation of various marketing folders for meetings and events.
  • Coordination of client briefings including, but not limited to the annual Pacific Gas Insiders Briefing (PGI), the Middle East Petroleum Insiders Briefing (MPI), Pacific Petroleum Insiders Briefing (PPI), Middle East Gas Insiders Briefing (MGI) and others to be held in the future.
  • Any other duties as assigned by the Head of Marketing and/or local Managers/Directors.

 

Account Manager duties:

  • Any other duties as assigned by Managers and/or Directors.
  • Act the single point of contact for some of our key clients.
  • Build strong relationships across multiple client stakeholders.
  • Understand the client's business model and how FGE's services can work to support them.
  • Growing and nurturing existing client accounts through renewals/upsells/cross-sells.
  • Working to move client relationships from tactical to partnership.
  • Identifying and acting on potential new business opportunities.
  • Gathering product feedback and market insight from client conversations.
  • Working collaboratively with other internal commercial teams.

 


Applicant Requirements

Skills and Experience

  • Must possess minimum Polytechnic diploma or bachelor’s degree.
  • Strong language proficiency to correspond with English speaking clients (in order to maintain a good after-sales relationship with English speaking clients and ensure their enquiries are handled promptly.
  • Meticulous and well organized.
  • Strong analytical and communication skills.
  • Able to interact effectively with staff at various levels of seniority, including C-suite.
  • Possess strong interpersonal skills.
  • Proficient in Microsoft office applications (Word, Excel, PowerPoint, Outlook).
  • Social media strategy and digital marketing skills is an advantage.
  • Accounting knowledge is an advantage.
  • Able to work independently and under pressure.
  • Previous roles in administration, personal assistant jobs are preferred. However fresh graduates are welcomed to apply.
  • Candidates must be legally entitled to work in Singapore.
